Onboarding Process for New Employees

The items enumerated below outline the steps you will need to successfully complete in order to receive a firm offer of employment.

1. Pre-Employment Physical Requirements 
If the position you have been tentatively selected for requires completion of a pre-employment physical examination as a condition of employment, your Human Resources Specialist will contact you to schedule an appointment with our Occupational Health Department. A firm offer of employment is contingent upon receiving medical clearance from Occupational Health.

2. Pre-Employment Fingerprint Requirements
As a condition of federal employment, you must be fingerprinted. Your Human Resources Specialist will coordinate a fingerprint date with you and inform you when to report to Police Service for your appointment. A firm offer of employment is contingent upon receiving a favorable fingerprint clearance.

3. Required Forms to Complete 
Please complete and submit all required forms during the pre-employment process. Below you will find links to checklists for designated positions. Please review the column entitled “Occupation” and identify the position you have been tentatively selected to fill. Access the required forms by selecting the corresponding link in the checklist column. Each form comprises your pre-employment application package. Please print, complete and submit all forms to your Human Resources Specialist on the day of your scheduled physical appointment. The checklist will assist you with keeping track of your progress in completing all required forms.

4. Pre-Employment Security Requirements
As a condition of securing employment with the North Florida/South Georgia Veterans Health System, you are required to complete the Electronic Questionnaire for Investigation Processing (e-QIP) application. You are advised to be mindful of dates because the system does not permit data to be stored when there are gaps in time. Please be sure to print the Pre-Employment Security checklist to keep track of your progress.
 

  • Low Risk Positions (Most positions will be considered Low Risk)
  • Moderate and High Risk Positions (Either your Human Resources Specialist or the Personnel Security Office will specifically notify you that you fall under a Moderate or High Risk Position)

5. Pre-Employment Credentialing and Privileging Requirements (Hybrid Title 38 Dependent Providers Only)
If the position you have been tentatively selected to fill requires that you possess and maintain a current license, and/or registration as a condition of employment, you will be required to complete VETPRO, the VA’s online credentialing system for all licensed health care personnel, in order to facilitate the verification of your education, training, licensure, registration, certification and other criteria. Once enrolled, you have a limited time to log into the web-based system and input the required information. Some of the requested information is the same as on your original application, and forms completed from the above checklist so having a photocopy of your application and forms to use as a guide is important.

Please note that this process is separate and distinct from the electronic background investigation process (e-QIP).

  • Make sure the information you enter into VETPRO is the same as on your application (e.g., dates of employment, employer addresses, etc.)

Hybrid Title 38 Dependent Providers will be contacted by the Human Resources Credentialing Office with information/instructions for completing VETPRO.  Please do not try and log on until Human Resources has contacted you as instructed by the tentative offer letter.

Title 38 Independent Providers (Physicians, Dentists, Nurse Practitioners, Physician Assistants, Psychologist etc.) will be contacted by the Chief of Staff Credentialing Office.
